How Laboratory Organization Works: the Whalen Process |

When clients enlist the laboratory organization and management services of Whalen Organizing & Consulting, the first step is a phone consultation. During this conversation, I will gather relevant background information, briefly address the scope and demands of the project, and schedule a meeting at the site. In preparation for this first meeting, I often ask clients to reflect upon their challenges and their goal for the organization process.
Step 1: ResearchThe first thing to do when you need to get organized is to fully assess the situation. To do this, I will meet with the laboratory staff, tour the lab, and review any existing processes or systems in place. I will also inquire specifically what support the client feels is needed. By the end of this visit, I will have gathered all the information I need to formulate a plan and quote a price for the project.
Step 2: Planning Once I am sure of the client’s unique challenges and needs, I am able to customize a solution specifically suited to their space and the functions it needs to perform. At this point, I will present my plan and estimated fees for the project. If the client desires laboratory management services as well, at this point I will also quote a weekly cost for the specific services required. After the client and I agree on a customized laboratory organization plan, we prioritize the needs to be met. Planning is especially important in laboratory organization to ensure that the lab can function as fully as possible during each phase of the project.
Step 3: ImplementationThe final step of the lab organization process is the signing of a contract and a non-disclosure agreement. It is important that the scientific and biotech professionals with whom I work trust in my confidentiality regarding not only the nature of their work, but also their unique organizational systems.
Once the client and I have agreed upon the scope, goals, and fees of the project, it’s time to get organized. I always work when it’s most convenient for my clients, so business is minimally interrupted. I always contact my clients within a week of our project completion, to ensure things are running smoothly. Once I have completed the laboratory organization, I meet with the client to discuss any necessary modifications and to establish a maintenance schedule for the future, if desired.
